1. Introduction

Welcome to Parts Known.

We respect your privacy and are committed to protecting your personal data. This policy explains what we collect, how we use it, what is public by design, and what rights you have.

Parts Known is a portfolio and networking platform for the performing arts. It is used by professionals, semi-pros, students and hobbyists, as well as venues and organisations.

2. Information we collect

We may collect, use, store and transfer different kinds of personal data about you, including:

Identity data

  • Name, username, display name
  • Profile information (bio, craft, experience level, pronouns if you choose to add them)

Contact data

  • Email address
  • Optional website and social links you add to your profile
  • Billing details if you subscribe to Pro (handled by our payment provider)

Profile and content data

  • Credits, roles, skills and experience you add
  • Works, productions, events, groups and venues you create or manage
  • Photos, videos, audio and other media you upload
  • Testimonials and press quotes you submit or approve
  • Lenses and personas you create (alternate professional identities)

Usage and technical data

  • Log data about how you use Parts Known (pages viewed, actions taken, timestamps)
  • Device and browser information, IP address, approximate location based on IP
  • Cookies or similar technologies for authentication, security and basic analytics

Social sign-in / integrations (if enabled)

If you choose to sign in or connect via a third-party service (for example Facebook or Instagram), we may receive basic profile information from that service such as your name, email and profile picture. We use this only to create and authenticate your Parts Known account.

We do not post to your social media accounts without your explicit permission.

3. What is public and what is not

Parts Known is designed to be a public record of performing-arts work.

By default, the following are public:

  • Your profile and personas (name, craft, credits, media and other public-facing information you choose to add)
  • Credits on productions and events
  • Works, productions, events, groups and venues you create
  • Public testimonials and press quotes you approve

Private by default:

  • Your email address, password and billing details
  • Internal account settings and subscription information
  • Draft content that you have not chosen to publish

You can edit or remove much of your content, but remember that anything visible to others may be captured or shared by them.

4. How we use your information

We use your personal data to:

  • Create and manage your account
  • Provide, maintain and improve the Parts Known service
  • Display your professional profile, credits, works, groups and venues
  • Connect you with collaborators, groups, venues and (in future) opportunities
  • Send you important service-related messages (for example, account changes, security alerts)
  • Send you optional product updates or tips, where you've consented to receive them
  • Monitor usage and performance to keep the service secure and reliable
  • Comply with legal or regulatory obligations

We do not sell your personal data, and we don't run third-party ad networks on Parts Known.

5. Legal bases (for UK/EU users)

Where data-protection law (such as UK GDPR or EU GDPR) applies, we process your personal data on the following legal bases:

  • Contract: to provide the service you sign up for (creating an account, hosting your profile and credits, managing your subscription).
  • Legitimate interests: to secure and improve Parts Known, prevent abuse, and understand how the platform is used.
  • Consent: for optional things like marketing emails or connecting social-media accounts. You can withdraw consent at any time.
  • Legal obligation: where we need to comply with applicable laws or regulatory requirements.

6. Data security

We use industry-standard measures to help protect your data, including:

  • Encrypted connections (HTTPS)
  • Secure hosting and restricted access to production systems
  • Password hashing and other standard security practices

No system is completely secure, but we work to keep Parts Known reasonably safe and will notify you of any serious incidents as required by law.

7. Data retention

We keep your personal data only for as long as necessary to provide the service and for legitimate business or legal purposes.

  • While your account is active, we retain the data needed to operate your profile and related features.
  • If you delete your account, we will delete or anonymise your personal information within a reasonable time, subject to:
    • Backups and logs that are kept for security and audit purposes
    • Content that may reasonably need to be retained for legal reasons

Some content that involved other users (for example joint credits on productions) may remain in anonymised or de-identified form so that their records are not broken.

8. Your rights

Depending on where you live, you may have rights over your personal data, including:

  • Access – request a copy of the personal data we hold about you
  • Correction – ask us to correct inaccurate or incomplete data
  • Deletion – request deletion of your personal data (subject to legal/operational constraints)
  • Restriction / objection – limit or object to certain types of processing
  • Portability – request your data in a structured, machine-readable format
  • Withdraw consent – withdraw consent for optional processing (like marketing emails) at any time

You can exercise many of these rights directly via your account (for example editing your profile or deleting your account). For anything else, contact us at hello@partsknown.app.

We may need to verify your identity before acting on certain requests.

9. Third-party services

To provide Parts Known, we rely on third-party service providers, such as:

  • Hosting and database services (for example Supabase or similar)
  • Email providers (for example transactional email services)
  • Payment processors (for Pro subscriptions)
  • Analytics and logging tools
  • Optional social-sign-in providers (e.g. Facebook, Instagram)

These providers may process your data on our behalf and have their own privacy policies. We only share the data that is necessary for them to perform their services for us, and we require them to protect it appropriately.

If your data is transferred outside the UK or EU, we take steps to ensure it has an appropriate level of protection (for example, using standard contractual clauses).

10. Children

Parts Known is not directed at children under 13, and we do not knowingly collect personal data from anyone under 13. If you believe a child has provided us with personal data, please contact us and we will take appropriate steps.
